1. Introduction

Tutelync ("we", "our", "us") is a coaching center management platform operated from Kerala, India. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our website (tutelync.com) and mobile application.

2. Information We Collect

a) Account Information

• Name, email address, and phone number (for account registration)
• Password (stored in encrypted/hashed form)
• Coaching center name, address, and district

b) Student Data (entered by coaching centers)

• Student name, date of birth, gender
• Parent/guardian name, phone number, and email
• School name and class information
• Attendance records
• Fee payment records
• Exam marks and results
• Student photos (optional — stored in private storage and uploaded only after the center confirms parent/guardian consent)

c) Usage Data

• Login timestamps
• Device and browser information
• Pages visited within the application
• The days you open our Android app from Google Play, to look after the app's quality

d) Payment Information

• Subscription plan details
• Payment transactions are processed securely through Razorpay. We do not store credit/debit card numbers.

3. How We Use Your Information

• To provide and maintain the Tutelync service
• To manage student attendance, fees, and exam records
• To send WhatsApp notifications to parents (attendance alerts, fee reminders, exam results) when enabled by the coaching center, and to show the center the parents' replies
• To send sign-up verification codes to coaching center owners on WhatsApp, with email as a fallback
• To send coaching center owners occasional updates about Tutelync features and offers, by email and WhatsApp, which they can stop at any time
• To process subscription payments
• To provide the parent portal for viewing student information
• To improve our service and fix technical issues

4. Data Storage & Security

• All data is stored on secure cloud servers (Supabase/PostgreSQL hosted on AWS, Asia-Pacific region)
• Data is encrypted in transit using HTTPS/TLS
• Passwords are hashed using bcrypt and never stored in plain text
• Access to student data is restricted to authorized users of the respective coaching center

5. Data Sharing

We do not sell, trade, or share your personal data with third parties, except:

• Razorpay — for processing subscription payments
• WhatsApp Business Platform (Meta), used directly and through AiSensy — for sending notifications to parents and receiving their replies, only when enabled by the coaching center
• Supabase — for cloud database hosting and file storage
• Legal requirements — if required by Indian law or court order

6. Parent Portal

Parents can access their child's attendance, fee, and exam information through a unique token-based link shared by the coaching center. No login or personal data collection is required from parents to view this portal.

7. WhatsApp Messages

When a coaching center enables WhatsApp notifications, messages are sent to parent phone numbers provided by the center. These messages include attendance alerts, fee reminders, exam results, and announcements. Parents can reply STOP, or ask the coaching center, to stop these messages at any time.

If a coaching center connects its own WhatsApp Business account to Tutelync, we access only that account's phone number details, message templates and messages, to send these notifications and show parents' replies to the center. The center can disconnect its account at any time.

Tutelync may also send coaching center owners occasional messages about Tutelync's features and offers, by email and on WhatsApp from Tutelync's own number (never the number that sends parents' alerts). Owners can stop these at any time by replying STOP on WhatsApp or using the link in any of these emails. Messages about the owner's own account, such as payment notices and receipts, continue.

8. Data Retention

• Account data is retained as long as the account is active
• Student records are retained as long as the coaching center account exists
• When a coaching center deletes a student, a copy of that student's records is kept for 30 days so an accidental deletion can be undone, and is then permanently erased
• If a coaching center deletes their account, all associated data (students, attendance, fees, exams) will be permanently deleted within 30 days

9. Your Rights

You have the right to:

• Access your personal data stored in the system
• Request correction of inaccurate data
• Request deletion of your account and associated data
• Export your data (available on Growth and Pro plans)

10. Children's Privacy

Most students whose records are managed on Tutelync are children under 18, who are protected under India's Digital Personal Data Protection Act, 2023 (DPDP Act). Tutelync is a tool for coaching center administrators — children do not create accounts or use the platform directly.

• Student data is entered and managed by the coaching center, which is responsible for obtaining the parent's or guardian's consent before adding a child's information, including photos. Tutelync processes this data only on the center's behalf, to provide the service.
• Student photos are stored in private storage, are visible only to authorized staff of the respective coaching center, and are used only for student records and ID cards — never for advertising or marketing.
• We do not use children's data for tracking, behavioural monitoring, or targeted advertising.
• Parents/guardians may ask the coaching center at any time to correct or remove their child's data (including photos), or contact us directly at the email below.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of Tutelync after changes constitutes acceptance of the updated policy.
